This policy outlines the procedures and fees related to the cancellation of tours booked through Momotour.com. I strive to be fair while covering the non-recoverable costs incurred in planning your tour.

General Cancellation Procedure
All cancellation requests must be
submitted in writing to contact@momotour.com.
- Effective Date:
The cancellation will be effective on the date I receive your written
email (during Bangladesh standard working hours: Sunday – Saturday).
Requests received after working hours or on holidays will be processed on
the next business day.

Cancellation Fee Schedule (Standard Tours)
The following scale applies to all
standard multi-day and packaged tours. Cancellation fees are calculated as a
percentage of the total tour price:

Non-Refundable Components & Exceptions
Certain costs are often
non-recoverable from third-party suppliers and will be deducted from any
eligible refund amount, regardless of the time of cancellation.
- Third-Party Fees:
This includes all costs associated with pre-purchased
domestic/international air tickets, train tickets, non-refundable hotel
room deposits, or special event passes, as per the individual supplier's
policies.
- Administrative & Service Charges: Administrative costs, transaction fees, and a standard
service charge of [$1-2] per person are non-refundable.
- Visa Services:
Any visa application fees and processing service charges are strictly
non-refundable, regardless of the visa application’s outcome (approval
or denial).
- Unused Services:
No refund will be provided for any unused services once the tour has
commenced, including missed meals, hotel nights, or transportation
segments due to the client's decision or delay.

Cancellation by Momotour.com (Non-Force Majeure)
Momotour.com reserves the right to
cancel a tour up to 15 days before the departure date if
the minimum number of participants is not met.
- In this event, clients will be offered a full refund
of all payments made to Momotour.com, or the option to transfer the full
value of the booking to an alternative tour date or itinerary.
- Momotour.com is not responsible for any incidental
costs incurred by the traveler, such as non-refundable personal flights or
visa costs.
5.
Force Majeure & Unforeseen Circumstances
In the event that the tour is
cancelled, significantly altered, or cannot commence due to circumstances
beyond my control (such as natural disasters, political unrest/strikes/hartals,
national emergency, border closures, or government travel advisories):
- Refund:
We are not obligated to provide a refund. However, we will use reasonable
efforts to recover funds from our third-party suppliers (hotels,
transport, etc.). Any refund issued will be the recovered amount minus
all non-refundable deposits and the administrative costs.
- Alternative:
I will prioritize offering the client the option to reschedule the tour
to a later date or accept a Travel Credit Voucher for the full
value of the recoverable funds.
6.
Refund Processing
- Method:
Refunds will be credited back to the original method of payment (e.g.,
credit card, bank account, MFS).
- Timeline:
Due to varying bank processing times and third-party supplier refund
cycles (especially for international components), refunds may take 7 to
10 working days for domestic services and up to 3 to 4 weeks
for international services to be completed and reflect in your account.
- Transaction Costs: Any charges incurred by the payment gateway or Mobile Financial Services (e.g., bKash) for the original payment and the refund transaction will be borne by the customer and deducted from the eligible refund amount.
Travel Insurance - Your Financial Protection
Momotour.com strongly recommends that all clients purchase comprehensive travel insurance at the time of booking.
It is the client's sole responsibility to ensure they have sufficient coverage.
What Travel Insurance Covers (and Momotour's Policy Does Not):
Personal Emergencies: Cancellation due to sickness, injury, or death of a family member.
Unexpected Events: Financial losses incurred due to delayed or cancelled flights, loss of luggage, or medical expenses abroad.
Force Majeure: Coverage for your trip cost if you cancel due to unforeseen events (such as political instability or natural disaster) that are not covered by Momotour.com's standard refund policy.
By proceeding with this booking, you acknowledge that you have been advised of the need for travel insurance and that you accept the risks associated with traveling without it.
